RC registration: how to get, print, track and correct your certificate

By , Editor and reviewer · Updated · 15 min read · Independent guide, not a government website

In short

RC registration is the RTO's record that a vehicle is lawfully registered to you, and the registration certificate is its proof. Once the RTO approves the record, you can save a free PDF from Vahan citizen services, pull a signed copy into DigiLocker or add a virtual RC in mParivahan. Track pending files with the application number, and fix wrong entries through the RTO.

Key takeaways

  • RC registration starts with the dealer's Form 20 and ends with a record in the national Vahan register; the copy is available before the card arrives.
  • Every official copy is checked with an OTP to the registered mobile, so an old number is the most common blocker.
  • A saved or printed copy is free; a duplicate RC or a new smart card is a paid RTO service with its own form.
  • Gujarat, Rajasthan, Delhi, Uttar Pradesh and Karnataka owners use the same Vahan screens after choosing their state.
  • An auto rickshaw RC is a transport vehicle record and stays valid only with a current fitness certificate.
  • Wrong details are corrected by the RTO; never edit a downloaded PDF.

What is RC registration?

RC registration is the entry an RTO makes in the national register when it accepts a vehicle for road use, and the registration certificate (RC) is the document that proves it. It names the legal owner, fixes the registration mark and records the technical details. Without it, a vehicle cannot be driven on public roads.

Timeline of RC registration from dealer filing Form 20 to the smart card in post
The digital record is ready well before the printed card arrives.

The law behind it

Registration is required under the Motor Vehicles Act, 1988, and the forms come from the Central Motor Vehicles Rules. The RTO, not the dealer or the manufacturer, is the authority that grants it. For the wider set of Vahan services, start at our Vahan vehicle registration guide.

Record first, card later

Think of the RC as two things. The record lives in Vahan, the database built by NIC for MoRTH. The card is a printout of that record. If they ever differ, the record wins, which is why a fresh copy is more useful than an old photocopy.

How does RC registration move from dealer to RTO?

For a new vehicle, the dealer usually files the application in Form 20, attaching the sale certificate (Form 21) and the maker’s roadworthiness certificate (Form 22). You pay road tax and fees, the RTO checks the file and allots a number, and the approved record then appears in Vahan.

What the buyer still does

The dealer handles the paperwork, but you supply address proof, a photo where asked, and the mobile number that will be linked to the vehicle. Give a number you will keep; it receives every OTP for the life of the vehicle.

Where delays creep in

Files stall when an address proof is unclear, tax is unpaid, or a document is missing. The receipt carries an application number; keep it, because that is how you follow the file later.

What does a registration certificate RC record?

A registration certificate RC carries the owner’s name, address, registration mark and date, chassis and engine numbers, maker and model, vehicle class, fuel, seating, emission norm and validity. If the vehicle is on a loan, the financier’s name is printed too. Check every line before relying on a copy.

Checklist of fields on a registration certificate RC, from owner name to financier entry
A wrong line is fixed by the RTO, never by editing the PDF.

Fields that cause trouble later

The chassis number and engine number must match the metal on the vehicle exactly. A single swapped character can block insurance claims, resale and loan closure, so compare them with the frame stamp once.

The financier entry

A hypothecated vehicle shows the lender’s name until the loan is closed and the RTO removes the entry. A copy saved during the loan will keep showing the lender even after you have repaid it.

How do you get RC after the vehicle is registered?

To get RC documents once the RTO has approved the record, you have three digital routes and one paper route: save a PDF from Vahan citizen services, fetch the signed copy in DigiLocker, add a virtual RC in mParivahan, or wait for the smart card that many states post to you.

Digital copies arrive first

The digital record is ready as soon as the file is approved, often days before the card. Save a copy straight away so you can drive with proof while the card travels.

When the card is posted

Many states send the smart card by speed post. The tracking number appears only after the office hands the parcel to India Post, so an empty tracking result in the first days is normal.

Who can get RC copies for a vehicle?

The registered owner can, because every official channel confirms ownership with an OTP to the mobile in the vehicle record. A spouse, child or company staff member can do it only with access to that phone. No official route gives anyone else a full copy of a stranger’s RC.

Vehicle registration download: which official sources exist?

A vehicle registration download can come from four official places: Vahan citizen services (printable PDF), DigiLocker (digitally signed issued document), the mParivahan app (virtual RC with QR) or the RTO counter for a duplicate or reprint. All of them draw from the same national register.

Table of official sources for a vehicle registration download, from Vahan to the RTO counter
All four read the same national register maintained by NIC.

Picking the right one

Choose the DigiLocker copy when you share the RC electronically with an insurer, bank or buyer, because it is signed and legally valid under the IT Act, 2000. Choose the Vahan PDF for offices that want paper, and the app for roadside checks.

What the RTO counter is for

The counter is for things a download cannot do: a lost original replaced, a damaged card reissued or a correction recorded. Those need a form and a fee.

Download RC Vahan: what are the steps?

To download RC Vahan copies, open Vahan citizen services, choose the state and RTO, pick the print RC or download document service, type the registration number and requested chassis characters, then confirm the OTP. The certificate opens as a PDF that you can save or print. Full screen-by-screen help is in our RC download guide.

  1. Choose your state. Open Vahan citizen services and pick the state and RTO shown on your plate.
  2. Open the document service. Pick the print RC or download document option from the menu.
  3. Enter the vehicle details. Type the registration number and the chassis characters asked for.
  4. Confirm the OTP. Enter the code sent to the mobile number recorded for the vehicle.
  5. Store the file. Save the PDF under your vehicle number and keep a second copy in email or cloud storage.

Pick the state on the plate

Choose the state where the vehicle is registered, not where you live today. A Gujarat-registered car kept in Pune still sits in Gujarat’s records until it is re-registered.

Keep the inputs ready

Copy the chassis characters from the RC or the insurance policy. Typing them from memory is the most common reason for a “details do not match” error.

How do you print RC card copies at home?

To print RC card copies, save the PDF from Vahan or DigiLocker, print on A4 at 100% scale with “fit to page” switched off, and use colour if you can. Then scan the QR code once with a phone to confirm it reads. This gives you a clean paper copy for offices that want one.

Four steps to print RC card copies at home with a readable QR code
A paper print is a copy, not a replacement smart card.

A print is not a new card

A home print is a copy. It does not replace a lost smart card for sale or transfer. For a fresh plastic card, apply to the RTO; in Rajasthan, for example, the smart card charge in the published schedule is ₹200 on top of the service fee.

What is the RC particular of vehicle download?

The RC particular of vehicle download is the record extract that lists the vehicle’s particulars: owner, class, chassis and engine numbers, dates and validity. It is the same data as the certificate, printed as a report. Owners use it for loans, insurance claims and proof of ownership history.

When an office asks for “particulars”

A bank or court that asks for vehicle particulars usually wants a recent extract, not an old card. Save a fresh copy on the day you submit it so the dates match the current record.

Extract versus certificate

The certificate is the formal proof of registration; the particulars extract is a summary of the same record. Where an office does not say which one it needs, the signed DigiLocker copy is usually accepted for both purposes.

How to check vehicle registration application status?

To see your vehicle registration application status, open Vahan citizen services, choose the state, go to the Status menu and select the application status option, then enter the application number from your fee receipt. The result shows which desk the file is at; SMS updates also arrive as it moves.

If you lost the receipt

The Status menu also has a reprint receipt option that finds the payment by registration number, receipt number or bank transaction number. The reprinted receipt shows the application number again.

Status of other files

The same screen tracks transfers, duplicates and address changes, because each gets its own application number. A detailed stage-by-stage walk-through is on our Vahan application status page.

What do the status stages mean?

Status lines read like a route through the office: received, verified, approved, then printed or dispatched. “Pending” at a desk means an officer still has to act. A file stuck at one stage for weeks usually needs a visit or a call to the RTO with the application number.

Status you seeWhat it usually meansWhat to do
Pending at a deskAn officer has not acted yetWait a few working days, then follow up
Objection raisedA document or detail failed checksUpload or present the missing proof
ApprovedThe record is final in VahanSave the digital copy now
Card printed or dispatchedThe smart card is on its wayTrack the speed post number when shown

When “approved” shows but no copy opens

The digital copy can take a short time to appear after approval. Try again the next day before raising a complaint.

When an objection is raised

The objection text tells you what failed. Fix that item only; restarting the application creates a second file and slows both.

How do you get an auto rickshaw RC book?

An auto rickshaw RC book is issued like any other RC, but the vehicle is registered as a transport vehicle. That means a yellow commercial plate, a permit for passenger use and a fitness certificate. The dealer files the registration; the permit and fitness follow from the RTO.

Fitness keeps it valid

Under Section 56 of the Act, a transport vehicle is not treated as validly registered without a current certificate of fitness. An auto RC whose fitness has lapsed is a problem even if the card itself looks fine.

Fees differ from private vehicles

Transport vehicles pay a higher registration fee. In Rajasthan’s published schedule, a non-transport three-wheeler is ₹600 and a transport one is ₹1,000. Other states follow the same central rule but can add their own charges.

Delhi series letters

In Delhi, auto rickshaws carry the R series letter and e-rickshaws use ER, so the plate itself tells an officer the vehicle class.

Online RC book download Gujarat: what is different?

For an online RC book download Gujarat owners choose Gujarat on Vahan citizen services and then the RTO that registered the vehicle, such as the GJ office on the plate. The steps and OTP check are the same as other states; only the state and office choice change.

Gujarat codes on the screen

The RTO list shows each office with its GJ code. Pick the one printed on your plate, even if you have moved within Gujarat, unless the vehicle was formally transferred to another office.

Gujarat transfers

Gujarat adds a transfer tax on some vehicles when ownership changes. If you bought a used vehicle there, download a fresh copy after the transfer to confirm your name is on the record.

Duplicate RC download Rajasthan: copy or real duplicate?

A duplicate RC download Rajasthan search usually means one of two things. If you only need a copy, the Vahan PDF is free. If the original is lost or damaged, you need a real duplicate certificate from the RTO, which is a paid application under Section 41(14).

What you need in RajasthanFee in the state schedule
Saved or printed RC copy from VahanFree
Duplicate RC, motorcycle₹150
Duplicate RC, non-transport car₹300
Smart card (Form 23A), extra₹200
Source: Rajasthan Transport Department, registration fee. Checked October 2026.

How the duplicate is applied for

The duplicate is applied for in Form 26 to the last registering authority, with a police report if the card was lost. For the full documents list, see our duplicate RC guide.

Rajasthan fees are half-rate

Rajasthan sets the duplicate fee at half of the registration fee for that vehicle class, which is why a bike costs less than a car.

Duplicate RC download Delhi: what do Delhi owners need?

For a duplicate RC download Delhi owners use Vahan with Delhi selected. A plain copy needs only the vehicle number, chassis characters and the OTP. A real duplicate, for a lost or damaged card, is applied for through the same portal and processed by the Delhi RTO that holds the record.

Delhi office numbers

Delhi plates drop the leading zero, so the office reads DL 1, not DL 01. Pick the office by that number on the RTO list.

Contactless filing

The duplicate certificate is one of the contactless services MoRTH launched with Aadhaar authentication in March 2021, so many applicants can file without a counter visit. Delhi’s current menu should be confirmed on the portal.

RC download Uttar Pradesh: how does it work for UP plates?

For an RC download Uttar Pradesh owners choose Uttar Pradesh on Vahan citizen services, then the RTO or ARTO office on the plate, and follow the same number, chassis and OTP steps. UP has many offices, so picking the correct one by its UP code matters more than in smaller states.

Older UP records

Very old registrations may not have been fully digitised. If Vahan returns “record not found”, the office has to update the file before any copy can be saved.

How to track RC book status Karnataka applications?

To follow RC book status Karnataka applications, choose Karnataka on Vahan citizen services and use the application status option with the number on your receipt. The same SMS alerts arrive as the file moves. Confirm the current Karnataka menu on the portal, as state screens can differ slightly.

KA codes and office choice

Bengaluru alone has several KA offices. Pick the one printed on your plate so the status search looks in the right office.

How do you apply for RC correction online?

An RC correction online request starts on Vahan citizen services, where states list services such as change of address or alteration of particulars. Choose the matching service, fill the form, upload proof and pay. The RTO verifies the change and updates the record; you then save a fresh copy.

Address changes

Under Section 49, you must tell the registering authority about a new address within 30 days. Our RC address change guide covers the form and documents.

Mobile number changes

A wrong or old mobile number blocks every OTP. Fix it first through the vehicle registration mobile number update service, then try the download again.

Which RC errors can be corrected online?

Address, mobile number and some alterations to particulars are usually available online, depending on the state. Spelling of the owner’s name, chassis or engine digits and vehicle class normally need RTO verification because the officer must check documents or the vehicle itself.

Dos and don'ts for an RC correction online request on the Vahan portal
An edited PDF can be treated as a forged document.

Errors that need the vehicle

A wrong chassis or engine number is checked against the metal stamp. Bring the vehicle, the sale certificate and the invoice.

Errors in your name

A misspelt owner name is fixed with ID proof that shows the correct spelling. Fix it before selling, because the buyer’s transfer will copy the wrong name otherwise.

Why does the RC copy fail to open, and what fixes it?

Most failures have five causes: the OTP goes to an old number, chassis characters are mistyped, the state has not activated the service, an old record was never digitised, or the browser blocks the PDF. Each has a quick fix, and none requires an agent.

Common errors when trying to get RC copies online and the fix for each one
Most failures trace back to the registered mobile number.

“Service not activated”

This message means the state has not switched that service on in Vahan. Use the state transport portal or the RTO instead.

Browser and file problems

Allow pop-ups for the Vahan site, or try another browser. On a phone, check the Downloads folder; the file often saves without opening.

Is a registration certificate copy free?

Yes. Saving or printing a copy from Vahan or DigiLocker carries no charge. Fees apply only when the RTO does work for you: a duplicate certificate, a new smart card, an address change or other alteration. Any site charging for a simple copy is not an official service.

What you pay for instead

The paid services are set under Rule 81 of the central rules, and states may add their own charges. The Vahan payment screen shows the final amount before you pay.

How long does an RC stay valid?

A private (non-transport) vehicle’s RC is valid for 15 years from issue under Section 41(7), then renewable for five years at a time. A transport vehicle such as an auto rickshaw or taxi stays validly registered only while its fitness certificate is current.

Check the date on your copy

The validity date is printed on the RC. A copy saved years ago may show an expired date even if you have since renewed, so download again after renewal.

Copy, duplicate or new smart card: which one do you need?

Use a copy when the original exists and you just need proof. Apply for a duplicate when the original is lost, stolen or damaged. Ask for a new card when the record has changed and you want an updated physical card. Each route has a different process and cost.

NeedWhat to getWhere
Proof while the card is at homeVahan PDF or DigiLocker copyOnline, free
Original lost or stolenDuplicate certificate (Form 26)RTO or Vahan, paid
Card damaged or unreadableDuplicate or reprintRTO, paid
Record changed, want updated cardNew smart cardRTO, paid

Selling the vehicle

A buyer and the RTO expect the original or a duplicate at transfer. A downloaded copy alone is not enough.

Insurance claims

Insurers usually accept the DigiLocker copy, but keep the original or duplicate ready for a total-loss claim.

Is a downloaded RC copy accepted?

The DigiLocker RC is a digitally signed document and is accepted electronically under the IT Act, 2000. Traffic police generally verify virtual or DigiLocker copies by scanning the QR code. A plain paper print is a useful copy, but some offices may still ask for the original card.

At a roadside check

Show the RC in DigiLocker or mParivahan rather than a phone photo. A photo cannot be verified by scan.

When should you save a fresh copy?

Download a new copy after any change to the record: renewal, loan closure, address change, transfer of ownership or a corrected detail. Also save one before a long trip, a sale or a claim, so the document you show matches the current entry in Vahan.

Keep one copy safe off the phone

Email the PDF to yourself or keep it in cloud storage. If the phone is lost, you can still show proof from another device.

RC registration questions

Is RC registration the same as getting a number plate?

No. Registration creates the record and allots the number; the plate (HSRP) is fitted separately by the dealer or an authorised vendor and shows that number.

Can I get RC copies before the smart card is delivered?

Yes. Once the RTO approves the record, the Vahan PDF, DigiLocker copy and virtual RC are available even while the card is still being printed or posted.

Is a saved RC PDF free?

Yes. Saving or printing the copy from Vahan or DigiLocker has no charge. A duplicate certificate or a reprinted smart card is a paid RTO service.

Why does Vahan say my service is not activated?

That message means the state has not switched on that online service for its RTOs. Use the state transport portal or visit the RTO instead.

Can a family member download my RC?

Only if they can receive the OTP sent to the mobile number in the vehicle record. There is no official way around that check.

How do I get an RC for a second-hand auto rickshaw?

The buyer applies for transfer of ownership at the RTO; after approval the RC shows the new owner. The permit is transferred or re-issued separately.

What if my chassis number is wrong on the RC?

Stop using that copy for sale or insurance and ask the RTO to correct it with your sale certificate and invoice. The office checks the frame number physically.

Does a Delhi RC copy work in another state?

Yes. The RC is valid across India. Moving permanently to another state for over 12 months needs re-registration there, not a new copy.

How often should I download a new copy?

After every change to the record, such as a renewal, loan closure, address change or ownership transfer, so the copy you show is current.
